Synopsis: Preparing Your Firm for Secure, Cloud‑First Print & Scan Services

Microsoft security and platform changes coming later this year will have a direct impact on how law firms scan, print, and secure their documents – with further modern print changes on the horizon. This webinar is designed to help Law South member firms understand what’s changing, why it matters, and how to prepare safely and efficiently.

We’ll begin by exploring secure scanning, focusing on the deprecation of Basic SMTP Authentication for scan‑to‑email, scheduled for the end of this year. Many firms still rely on unauthenticated or basic SMTP configurations, which Microsoft is retiring as part of its wider security hardening programme. We’ll explain what this change means in practical terms, the risks of leaving legacy scan‑to‑email in place, and how moving to OAuth‑based scanning provides a more secure and future‑proof alternative. We’ll also look at scan‑to‑folder workflows, outlining the risks of legacy NTLM/SMB dependencies and the growing shift towards token‑based scanning to OneDrive and SharePoint.

The session will then cover printer vulnerabilities and device hardening. Drawing on real audit findings, we’ll highlight common security gaps seen on MFDs – including default credentials, open ports, outdated firmware, and weak or deprecated protocols. We’ll demonstrate how standardised security builds, automatic firmware updates, and additional authentication layers (such as those provided by uniFLOW Online) significantly reduce risk, both at the device and web‑interface level.

Next, we’ll examine network security and why traditional MFD VLANs alone no longer provide sufficient protection. We’ll discuss the risk of lateral network movement and how a zero‑trust, micro‑segmented approach using cloud‑connected MFDs can strengthen security while still supporting familiar tools such as remote access and VNC.

Finally, we’ll bring everything together with a cloud‑first print and scan strategy aligned to broader IT and security roadmaps. This includes SSO with identity providers like Microsoft or Okta, automated user and group provisioning, and managed deployment using Intune or Jamf. We’ll also touch on Microsoft’s direction of travel towards modern print, highlighting expected changes and architectural shifts, while acknowledging that no definitive timelines have yet been published.

Definely has been a solution helping lawyers draft complex legal documents in Microsoft Word for 5+ years now.  It was founded by two ex-Freshfields lawyers. Definely helps lawyers to create, draft, review and understand legal documents more efficiently. It sits directly within Microsoft Word but ultimately it’s not just about speed. It’s also about improving accuracy, and stripping away the manual errors that can creep into complex drafting. There was a LS webinar on Definely in 2022, a recording and product details from 2024 and a recording from 1 April 2026 in the LS Network Resources channel on MS Teams. We engaged with Definely again in 2026 to find out how the solution has come on and where it fits with GenAI tools such as Microsoft Copilot and Harvey, etc. Please find attached a Company overview and the Definely Journey covering the range of tools and their uses.

Definely still operates directly in Microsoft Word and can be used alongside the general AI providers. The ‘core’ solution is not using AI, but it also has some dedicated AI tools that can now be added in. The full suite is: Draft (the core application), normally paired with Vault which access documents and precedents (integrated with iManage, SharePoint and NetDocs); Cascade which maps the consequential impact of deleting terms helping manage drafting risk; Proof which proof reads and allows you to add in hyper-links for cross-referencing, etc.; and Enhance which is Definely’s own agentic AI layer which is ‘grounded’ in Vault and compare your draft to similar contracts, do summarisation, etc.

In Draft you can complete the whole pre-execution workflow for complex drafting. Another use case is for professional and knowledge lawyers to perfect precedent material. The ‘bread and butter’ is hyperlinking and fixing definitions and cross-references. You can add a definition, replace a term, etc. It can also find and fix undefined terms, references, etc. You can link separate documents. You can then ‘Extract’ changes into a table.  If you are using the AI modules, this table can also include an AI explanation of the changes.

Time and activity data remains crucial to law firm business effectiveness. Laurel works differently to the ‘native’ time capture of your PMS or Intapp Time and similar solutions such as Carpe Diem, etc.

Eleanor Hobson (Kemp IT Law) and Paul Longhurst (3Kites Consulting) provide an overview aimed at helping Law South firms consider what to look for and avoid… and where this is simply not an option but should at least be understood. This presentation is for Board, AI, Operations, IT/InfoSec, and Risk & Compliance groups, and anyone involved in AI strategy, policy, or implementation.

We have been discussing where firms within the group have got to on their AI journey.  We have also been exploring new sources of AI literacy training with the group. Discussion of AI in the group has included but is not limited to: Legal AI such as Harvey, Legora and Leah; the ‘legal library’ based solutions from Thomson Reuters and LexisNexis; point solutions in practice areas such as Real Estate, Employment and Corporate, etc.; AI for risk management, etc.; and Microsoft Copilot for 365.  It is early days for everyone, and some firms may need some more external assistance to make the progress they need to make in the short to medium term.  Even the firms that have travelled the furthers so far have finite resources and available skills.

LS has worked with Codestone over several years and they are generally very well organised and have good experience. We set out exploring options for a visit to Microsoft offices in Paddington on CoPilot with several Microsoft Partners (more details to follow).  In discussion with Codestone the discussion pivoted to explore what Codestone can offer more generally around successful AI adoption and this led to this webinar on this. The Cyber/InfoSec survey in Q4 2025 was discussed at the IT/InfoSec SIG and Board meetings. We reported on those sections of the survey about the things which relate to developing all the necessary aspects of an Information Security Management System (ISMS) and gaining independent certification for this (Dutton Gregory achieved ISO27001 certification in 2023). Insurers are giving increasing importance to ISO27001 certification which also helps meet client requirements for information security.  ISO27001 also supports Supply Chain Risk management which is a topic which member firms have also raised (see below). The survey evidenced the overall slow progress (now over several years) towards achieving ISO27001. Several firms did not expect to gain certification for at least a year, and few had yet to appoint experts to assist them with their projects. At the Board meeting it was highlighted that member firms may need to give greater business priority to their business-wide ISO 27001 projects. I know from experience the value of having key senior decision-makers/leaders within the business be aware of the importance and key features of the standard so that they will be ready to approve budget and lead the business through any changes required to achieve certification. Also, that achieving certification is achievable in a matter of months with this support and a good project plan.

To assist member firms, we have sourced a senior level presentation from an experienced and practising Chief Information Security Officer (CISO) to help provide the context for senior decision-makers. After a year with the RCMP as a Criminal Intelligence Analyst, Ian worked as a cyber security analyst/consultant for multi-national insurance, banking, and regional health care verticals. With a deep background in cyber threat intelligence Ian was previously the CISO for Cyjax Ltd, a UK based threat intelligence provider to enterprise customers. Firms have used ‘Oyez’ and ‘Laserforms’ (both now part of large technology groups) for years and more recently Cloud versions. With user habit being so well-rooted it is rare that a significant new player has made inroads into this market. Members firms are making increasing use of apprenticeships (legal and otherwise) and seeking to get value from the Apprenticeship Levy monies. With scarcity of experienced people in some business support areas, firms are interested in developing new team members. There are 4 main apprenticeship providers in the legal sector which are Damar, BPP, ULaw and Datalaw (428 law firms in the last 4 years). This was our first discussion with Datalaw although have been providing CPD training for 25 years and support 29,000 solicitors. In discussion, we have identified some other options that we believe may be of interest to member firms (Legal Marketing & Data Protection apprenticeships). Some of these may be unique to Datalaw. Supply Chain Risk is a topic that has begun to rise to the top of discussion in the context of Cyber Security and wider Risk & Compliance. Everybody has suppliers, and as the CTS outage showed, the consequences of supply chain failure can be catastrophic for some. Firms want to be resilient and to have robust business recovery plans. Those who have gained or are preparing to gain ISO 27001, these standards (and some large institutional or corporate clients) expect you to risk assess your supply chain. Traditionally this has been done by discussion and questionnaire, etc. and can absorb a considerable amount of time, energy and cost and you only ‘scratch the surface’. Done that way it is also a ‘one-off’ that has to be repeated to update the data, rather than ‘always on’ updates. How do you assess the suppliers to your supplier, the 4th, 5th, 6th party risks where Single Points of Failure may be lurking, including in Cloud infrastructure or ecosystem specialists used by many businesses. There are now tech solutions that can make this much quicker and less resource heavy and arguable gain far more insight. As first identified to the group in May 2024, the ‘first mover’ in this space is Risk Ledger.  The Zoom link is below. This presentation will update firms on how RS overcomes concerns, often at individual lawyer or management levels, that unfavourable reviews could cause problems, the cost could be prohibitive, it could create a lot of administration, etc. and demonstrate the power and cost-effectiveness of this platform. Darktrace is a global leader in cybersecurity AI, protecting 9000+ customers worldwide. They offer AI-augmented security solutions for Network, Microsoft 365 SaaS and email. These are currently used by three member firms (Girlings (Network and Email), Thursfields (Email) and Wilsons (Network and Microsoft 365 SaaS)) and this presentation will be to provide an update on Darktrace, their solutions and the extent of their partnership with Microsoft.

This was a useful update from Moneypenny on Telephone Answering and Live Chat, however your firm wishes to use this alongside your in-house people. This included thoughts on how to work with Moneypenny (including quarterly account manager meetings) to build the database of your preferred processes and workflows. Moneypenny also introduced their new lead generation team service. The proactive nature of Live Chat over web forms and relative success rates were highlighted from survey data. Moneypenny now offer integration with Microsoft Teams enabling them to have visibility of availability status and OOO messages and portals such as PerfectPortal. In the case of the latter the Chat messages can be pulled through, but the Live Chat is still performed on the website.
